Month-End Close

From spreadsheet exercise to controlled workflow.

For most organizations, the environmental asset close is a spreadsheet assembled under deadline from registry exports, trade blotters, and ledger queries. CCIAM replaces that with a sequenced workflow where each step has a completion condition, and the period cannot be declared ready until those conditions are met.

Trigger

The period close calendar reaches the environmental asset cutoff.

End state

CLOSE READY
Workflow

Step through the controlled sequence

STEP 01 / 10Period Control

Transaction cutoff

The cutoff is applied for the period. Transactions after the cutoff are attributed to the following period, and the boundary is recorded so the close is reproducible.

Controls at this step

  • Cutoff recorded explicitly
  • Post-cutoff activity attributed forward
  • Period status governs what may still be posted
Participants

Who does what

Compliance analyst

Clears unresolved transactions and validation failures ahead of cutoff.

Accounting

Reviews valuation results, generated accounting events, and posting outcomes.

Reconciliation analyst

Works the reconciliation exceptions raised after posting.

Controller

Approves the reconciliation and declares the period ready for close.

Data model

What the platform records

Cutoff timestampThe boundary that defines what belongs to the period.
Open item inventory at cutoffWhat was outstanding when the close began, and who owned it.
Market prices with source and effective dateThe basis of market valuation, retained for the period.
Valuation resultsBook value, market value, and exposure as of the valuation date.
Posting outcomes and document referencesWhat reached the ledger, and what did not.
Reconciliation result and residualsThe proven agreement, and any accepted difference.
Controller approvalAttributed, timestamped authorization to close.
Control environment

The controls that make it defensible

Valuation does not run while blocking items remain unresolved.
A missing market price raises an exception rather than defaulting to zero.
Accounting amounts are derived from recorded activity, not manually keyed.
The period cannot be declared ready while the reconciliation is incomplete or unapproved.
The close package is retained as an immutable evidence set, and reopening a period is itself recorded.
Failure modes

What can go wrong, and what happens next

Blocking open items at cutoff

Cause

Failed integrations, unsettled trades, or unconfirmed retirements remain outstanding.

Resolution path

Owners clear the items; readiness is re-evaluated before valuation proceeds.

Missing market price

Cause

No price available for a program or credit type at the valuation date.

Resolution path

Price is sourced, or a documented override is applied with its rationale retained.

Posting rejected

Cause

Account determination or period status prevented the entry.

Resolution path

Accounting corrects and re-transmits; the rejection remains on the audit record.

Value variance after posting

Cause

Inventory value and ledger balance disagree for the period.

Resolution path

Investigated by account and entity, corrected, or documented and accepted by the controller.

Approval withheld

Cause

The controller is not satisfied with residual differences or evidence.

Resolution path

Period remains open, outstanding items are escalated, and the reason is recorded.

Systems involved

Integration surface

  • Program registries
  • Trading and settlement systems
  • Market price sources
  • General ledger (SAP or equivalent)
  • Close calendar and period control
Audit trail

Evidence retained

  • Cutoff record and open item inventory at cutoff
  • Market price load with source and effective date
  • Valuation results as of the valuation date
  • Generated accounting events and posting outcomes with document references
  • Reconciliation result with exceptions and resolutions
  • Controller approval with identity and timestamp
  • Retained close package for the period
Outcome

What changes for the organization

01The close follows a sequence with completion conditions rather than a deadline and a spreadsheet.
02Problems that would compromise the close are surfaced before valuation rather than after posting.
03Every figure in the close package traces to the activity that produced it.
04A prior period can be reconstructed as it stood, without reassembling source exports.
